Organize Your Digital Scrapbooking Files Like a Pro


(No more “Where did I put that paper?!” panic)

Today, we’re fixing that. This is your step-by-step guide to organizing your digital scrapbooking files like a total pro. Whether you’re brand new or have 12 gigs of unzipped embellishments (no judgment), this post is going to help you breathe easier and scrap faster.

When your files are organized, you can:

  • Quickly find the paper or elements you need

  • Feel calm and in control when it’s scrapbooking time 💛


🛠 What You’ll Need to Get Started

  • A computer or tablet with storage space

  • A place to store your kits (external drive, cloud storage, or both)

  • A folder structure you’ll stick with

  • A few minutes to batch-sort and breathe 😉

🎯 Bonus: This works for Canva users too! Even though Canva doesn’t use folders on your hard drive, you can still organize your uploads and kits before adding them in.


🗂️ Step-by-Step: How to Organize Your Digital Scrapbooking Files

1. Set Up a Master Folder

Start with one big folder called:👉 Digital Scrapbooking

This is your “home base.” Everything related to scrapbooking lives here — no more floating files on your desktop!


2. Create Subfolders That Make Sense for You

Here are a few ways you can sort your files (choose the one that feels most natural):

Option A: By Product Type

  • Digital Papers

  • Embellishments

  • Alphas + Fonts

  • Templates + Layouts

  • Journaling Cards

  • Stickers

Option B: By Theme

  • Holidays

  • Seasons (Spring, Summer, Fall, Winter)

  • Travel

  • Everyday Life

  • Vintage or Aesthetic (Cottagecore, Boho, etc.)

Option C: By Kit or Designer

💡 Pro tip: You can always use a combo of these — start with theme, then sort by product type inside!


3. Rename and Unzip Your Files

This part is a game-changer.

  • Rename files clearly: “FloralBackground1.jpg” → “Spring_Floral_Cottagecore.jpg”

  • Unzip folders and move the contents into your structure

  • Delete the original zip file once it’s organized — no need to keep clutter

🎯 Keep file names searchable! Think: color, style, kit name, or type (tag, paper, overlay, etc.)


4. Backup Your Scrapbooking Folder

Don’t skip this!

  • Save a copy to cloud storage (Google Drive, Dropbox, OneDrive, etc.)

  • Use an external hard drive if you work with large files

  • If you use Canva, organize your uploads in folders by theme or project

That way, if your computer crashes (knock on wood), you won’t lose your entire digital scrapbook stash.


5. Create a “To Use” Folder

This is one of my favorite tricks!

  • Make a folder inside your master folder called “To Use” or “Current Projects”

  • Drop in any kits, papers, or embellishments you’re currently working with

  • Clear it out monthly once you’ve used them — no more forgotten downloads!

  • Batch organize: Do a few folders at a time — no need to do everything in one sitting

  • Stick to a naming system you can remember

  • Set a reminder to organize new downloads once a week (or after each haul)

  • Use Canva folders to match your themes, kits, or projects
